Tokyo monthly apartment cancellation: how refunds work

Cancellation terms depend on the booking you make, including its dates and contract. Learn how to get a usable refund calculation, compare flexibility, and arrange a cancellation or shorter stay without relying on a market-wide timetable.

Before booking a Tokyo monthly apartment, find out what you would owe if you cancelled before arrival or left early. Those can be different amounts, and a label such as “flexible” doesn't tell you the deadlines or which payments come back.

If your plans are uncertain, use the date you're waiting for a decision and the earliest date you might leave. A calculation for those dates is more useful than a general promise of flexibility.

If you've already booked and need to cancel, send notice through the method specified in your agreement promptly. Ask for written acknowledgement and an itemised refund calculation. Keep a copy of the notice and the time you sent it.

A notice period can cost money without a penalty fee

Oakhouse’s move-out FAQ says there is no penalty fee, but rent continues until the cancellation date: at least one month after a move-out application, or two weeks for dormitories. Leaving the room sooner does not by itself stop the rent.

Use a hypothetical comparison. Suppose Booking A charges ¥180,000 per 30-day billing period and its agreed cancellation date leaves ten paid days after you physically leave. At ¥6,000 a day, those unused days cost ¥60,000. Suppose Booking B costs ¥20,000 more for the time you need but, under its own written terms, has no unused paid days. B is ¥40,000 cheaper in that early-departure scenario. These are invented prices and contract dates, not quotes from Oakhouse or another company.

The phrase “no penalty” is therefore incomplete for budgeting. Ask for both the last day you may occupy the room and the last day you will pay for it.

Which change are you making?

Cancellation before arrival, a delayed check-in and leaving early may be covered by different clauses. Look for the situation that applies to you:

A cancellation fee and a refundable damage deposit are different things. Ask whether the company deducts the fee from money already held or sends a separate invoice. The deposit and upfront-payment guide helps separate those amounts.

If a website, email and contract give different answers, have the company resolve the difference in writing before you pay. Don't assume the least expensive version will apply.

Cancellation terms by accommodation type

Furnished apartments

A furnished apartment may be offered through an accommodation booking or a rental agreement. Ask which agreement you will sign, and read both the pre-arrival cancellation clause and the early-termination clause. They answer different questions.

For a fixed-term lease, pay particular attention to the agreed end date and provisions for leaving early. Ask for an example using your proposed departure date, including any minimum commitment and removal of a long-stay discount.

Sharehouses

Check the notice procedure alongside the minimum stay. Ask whether the final rent is charged through a specific day or a full billing period, and whether the notice must be submitted through an online account, email or a form.

An application fee, initial cleaning fee and deposit may have different refund terms. A listing described as “no deposit” can still have non-refundable setup costs.

Hotel and Airbnb fallback

For a hotel, compare the cancellation conditions of the actual rates offered. A flexible rate can be useful while a visa, work assignment or arrival date remains uncertain, but check the precise deadline and local time zone. Don't assume every hotel offers the same grace period.

For Airbnb monthly stays, reservations of 28 nights or more use long-term cancellation terms. Airbnb offers firm and strict versions, so open the reservation details to see which applies. Its guest guidance warns that the first payment may be non-refundable and that cancellation after arrival can leave the following month payable; consult the full policy for the conditions and exceptions.

You can also ask to change your dates. Keep following the original booking terms until the company confirms the change.

Comparison table

Build a small comparison from written quotes instead of using a table of supposed market norms:

This makes flexibility visible. A higher advertised rent may still be worthwhile if it meaningfully reduces the amount at risk while your plans are unresolved.

Booking when your stay isn't certain

Start with the event that will settle your plans: a visa decision, signed job offer, hospital appointment or confirmed flight. Ask whether the company can hold an apartment until that date and what the hold costs. Get the expiry time and refund conditions in writing; an enquiry alone doesn't reserve a room.

If you need accommodation before that decision, compare a shorter flexible booking with the possible cancellation loss on a longer one. Include moving costs and any overlap between bookings. Waiting can reduce your choice of apartments, so decide which matters more for your trip: securing that particular place or keeping the commitment small.

Travel insurance is only helpful if your policy covers the reason for cancelling and the accommodation expense concerned. Read the conditions, limits and exclusions before counting a potential payout in your budget. A visa delay and a visa refusal may be treated differently.

Before you sign

If the agreement leaves any of these points unclear, use a follow-up such as:

Please confirm the cancellation charges for this booking, including the exact deadlines and time zone. Please also show what I would owe if I leave on [date], how each deposit or prepaid fee is treated, and when and how any refund is paid. What happens if you cannot provide the booked apartment?

Save the response with the agreement and payment receipt. For a payment in another currency, check the refund currency and your card or bank's conversion and fee terms.

If you've already booked

Find the notice method and send the required request. Then ask the company to acknowledge the effective cancellation date, remaining amount due and expected refund. If you are requesting a date change instead, state that clearly so there is no confusion over whether you are cancelling.

Keep following the existing payment terms until the company confirms a change or cancellation. If you disagree with a deduction, ask which clause supports it and request the calculation in writing; that gives you something specific to query or take for advice.
